Updating Fees in Scribe Bookings
This article provides a step-by-step guide on how to manage your fees in Scribe Bookings once new fees have been agreed upon and will be implemented from a particular date.
If your new fees will be implemented in future, you can still set these up in advance as soon as they have been agreed upon.
Steps to Update Fees
1. Access the Fees Section:
- Navigate to Setup and then select Fees.
2. Edit Existing Fees:
- Click into one of your fee groups - fees that are changing will need to be edited to have a start and end date if not already.
- Click on the three dots next to the fee and select Edit.
- In the Advanced drop-down menu, enter a start and end date for the existing fee.
- Example:
01/04/2023 - 31/03/2025
.
- Repeat this process for each fee which will be changing.
3. Add New Fees:
- You can now start entering the new fees within the existing fee group that is already linked to your venue.
- To do this click on Add fee on the right-hand side.
- Enter your new fee details and using the Advanced drop-down apply a start and end date.
- Example:
01/04/2025 - 31/03/2027
By applying the start and end dates to both existing and new fees, Scribe will know when the change is going to take place and will apply the correct fees depending on booking dates going forwards.
4. Consider Booking Dates:
- Any bookings that fall beyond the end date of the new fees will not incur a fee. It may be wise to extend the end date (e.g., to
31/03/2027
) even if you plan to review and update fees again in April 2026 for example.
5. Recalculate Existing Bookings:
- Any existing bookings that fall within your new fee date range will not be automatically updated. You can choose whether these bookings should keep the old fee or take the new fee.
- If you would like existing bookings to take the new fee, you will need to Re-calculate these.
